Viewing your assigned policies and procedures in Handbook is simple and user-friendly. Follow these steps to access and read your documents:

Steps to View Your Handbook

  1. Log In to Your Handbook Account
    • Open your web browser and go to the Handbook login page.
    • Enter your login credentials (email and password) and click Log In.

      Navigate to My Handbook

    • Once logged in, you will be taken to the main dashboard.
    • From the main navigation menu, click on My Handbook.

      View Your Documents

    • In the My Handbook section, you will see a list of all the documents assigned to you.
    • Click on any document title to open and view the document.

      Read and Acknowledge (if required)

    • Read through the document carefully.
    • If acknowledgement is required, follow the instructions to confirm you have read and understood the document.

How do I know what team members can see which documents?

This answer depends on your plan level. This is explained below:


Enterprise Plan

If your team is on the Enterprise plan, document visibility is controlled through the Locations feature. Locations allow you to group users and documents by location (such as department or office). When managing documents on the Documents page, you can assign them to specific locations. This means only the users associated with those locations will be able to see the document. Users must be assigned locations from the Users page.

  • If the location field is left empty, the document will be visible to all team members across all locations.
  • If you assign the document to a specific location, only the users in that location will be able to view it.

Advanced Plan and Below

If your team is on the Advanced plan or below (e.g., Essentials), all users will be able to see all documents by default, with no location-based restrictions. However, you can still manage who acknowledges or signs off on documents using the Acknowledgment user tag.


Acknowledgment User Tag (Available for All Plans)

Regardless of the plan type, the Acknowledgment user tag works the same way. The admin can use it to designate specific users who need to acknowledge (e-sign) certain documents. Here's how it works:

  1. Tagging Users: The admin can apply the User Acknowledgment tag to users (this can be done on the Users page).
  2. Configuring Documents: The admin can then assign the same acknowledgment tag to specific documents that need to be acknowledged. This ensures that only the users with the matching tag will be prompted to acknowledge or sign off on the document. The admin should put the User Acknowledgement Tag into the proper field, this should not be confused with the Tags field.

Summary:

  • Enterprise Plan: Document visibility is controlled by the Locations feature. If no location is assigned, the document is visible to all team members.
  • Advanced Plan and Below: All users see all documents by default.
  • Acknowledgment User Tag: Available on all plans, this feature allows admins to specify which users need to acknowledge certain documents by tagging both users and documents appropriately.

Tips for Efficiently Using My Handbook as a non-admin

  • Regular Check-ins: Regularly check your Handbook for new or updated documents.
  • Stay Informed: Make sure to read all assigned documents thoroughly to stay informed about company policies and procedures.
  • Check your email: Handbook will routinely send you emails asking for your e-signature when your team asks for it. Be sure to ask your IT department to whitelist *@tryhandbook.com to ensure you get all emails.
  • Acknowledge Promptly: If acknowledgement is required, do so promptly to ensure compliance.
