Handbook's Video feature provides an effective way to ensure employees watch training videos fully before acknowledging or signing off on important documents. This feature is available for Advanced and Enterprise plan users, with Enterprise users receiving additional advanced engagement analytics and compliance assurance.

Here's a step-by-step guide on how to add videos to your documents, enforce video viewing, and track employee engagement.
Video Features by Plan
Advanced Plan:
You can add videos to your documents, but employees will not be forced to watch the entire video. They will be able to play and view the video at their own pace and stats won't be recorded.
Enterprise Plan:
In addition to adding videos, you can enforce mandatory video viewing before an employee can sign off on (acknowledge) the document. Enterprise plans also provide advanced analytics, such as pause counts, skips, tab changes, and more to help you track video engagement in detail.
Steps to Add a Video to a Document
Ensure You Have the Right Plan:
- If you’re on the Advanced Plan, you can add videos but won't be able to enforce video viewing.
If you're on the Enterprise Plan, you can enforce video viewing and access advanced analytics.
Edit the Document:
- Go to your Handbook dashboard and click on the Edit Handbook button.
Find and double-click the document to which you want to add a video.
Add the Vimeo Video URL:
- In the document editor, look for the video area at the top where it says "Paste Vimeo URL here."
- Paste the Vimeo video URL into the field.
- After pasting, the video will automatically appear in the document.
Save Your Document:
- Once the video is added, simply save your changes.

When uploading a video to Vimeo, it is important to carefully consider the visibility setting in alignment with your goals. The most common choices for customers are either Hide from Vimeo or Public. This ensures that the video can be embedded into Handbook. Selecting any other option will prevent your video from functioning within Handbook.
Enforcing Video Viewing (Enterprise Only)
Enterprise Users:
If you're on the Enterprise Plan, your employees will be forced to watch the video from start to finish before they can acknowledge or sign off on the document. This ensures that they engage fully with the content, which is crucial for compliance. You cannot add a video to a document and not require full viewing, it is enabled for all documents by default. Video enforcement will work for staff completing acknowledgements using our Handbook mobile iOS and Android apps.
Note: If an employee attempts to watch less than the required amount of time of the video, an email alert will be sent to the Document Owner.
Advanced Users:
If you're on the Advanced Plan, employees will be able to view and play the video at their own pace, but there’s no enforcement to make sure they watch the full video.
Note: There are no alerts that go out if an employee does not watch the full video on the Advanced plan.
What is Vimeo?
Vimeo is a popular video hosting platform where you can upload, store, and share videos. To use the Video feature in Handbook, you must use Vimeo to host your training videos. Vimeo provides high-quality, ad-free, business-class video streaming and integration features, making it an ideal platform for embedding videos into your Handbook documents. Vimeo and Handbook are not associated.
How to Sign Up for Vimeo:
- Visit Vimeo's website.
- Click on Sign Up in the top-right corner.
- Choose your plan (Vimeo offers both free and paid plans). If you use the link above, you'll get a discount.
- Follow the prompts to create your account and upload your training videos.
Viewing Advanced Video Engagement Analytics (Enterprise Only)
For Enterprise users, you can view advanced video engagement metrics to track how employees interacted with your training videos. Here's how to access the detailed statistics:
- Go to Reports:
In your Handbook dashboard, navigate to the Reports section.
Access the Document's Audit Log:
- Find the document where you added the video.
- Click on the eyeball icon next to the Acknowledgement Request for that document. This will show you detailed engagement metrics for the video, including:
- Views
- Pauses
- Skips
- Tab/Window Changes
Mute Events
Analyze the Data:
- Use these insights to assess how engaged employees are with the video and identify any potential gaps in understanding or compliance.
Summary:
- Advanced Plan: Add videos, but no enforcement of viewing.
- Enterprise Plan: Enforce full video viewing before sign-off and access advanced analytics.

Using External Video Links: Potential Drawbacks and Frustrations:
If you prefer not to use Handbook’s Video feature, you can still include video links from external platforms like YouTube by simply copying and pasting the URL into your document body. However, keep in mind that the person viewing the document will need to leave Handbook and visit the third-party site to watch the video.
This may require additional logins or navigating through ads, which can lead to frustration and potential distractions for your employees, ultimately affecting engagement and compliance. For a smoother, more integrated experience, we recommend using the built-in video tools available with Handbook.
