Managing employee incidents is a critical part of maintaining a safe and compliant workplace. With Handbook, managing and tracking incidents is streamlined, making it easy to log, monitor, and take action on incidents as they occur.

What Are Incidents?
Incidents are unexpected events or situations that occur in the workplace that may affect employee safety, compliance, or overall well-being. They can range from minor injuries to major accidents, policy violations, or safety hazards. Examples of incidents include:
- Employee Burn: An employee accidentally burns themselves while using a hot stove.
- Workplace Injury: An employee slips and falls in the hallway.
- Policy Violation: An employee fails to adhere to safety protocols, leading to a near-miss accident.
It’s important to log all incidents to ensure that they are properly documented, addressed, and resolved. Not only does this help ensure the safety of your employees, but it also assists in maintaining compliance with regulations and company policies.
Incident Statuses
In Handbook, incidents can be in one of three statuses: Open, Resolved, or Archived.
- Open: The incident is under review, investigation, or resolution. This is the initial status when an incident is first logged.
- Resolved: The issue has been addressed, and all necessary actions have been taken to resolve the incident.
- Archived: Once the incident has been fully resolved and no further action is needed, it can be archived for historical reference. Archived incidents are typically stored for record-keeping purposes.
Managing Incidents
Once an incident is created, it will automatically be in the Open status. This is the stage where you can gather details, investigate the incident, and take necessary actions.
Viewing Employee Recent History
You can track an employee’s history of recent incidents on the right-hand side of the incident form, allowing you to see their previous reports, actions, and resolutions. This is particularly useful when managing multiple incidents or identifying recurring issues that may need more attention.
Expanding the Text Area for More Space
If you need more space to type in any text field, simply click and hold the small handle at the bottom-right corner of the text area. Then, drag it downward to expand the box and give yourself more room to enter details. This feature allows you to comfortably add more information without feeling restricted by the default size of the field.
Attachments
You can attach relevant documentation and media files to an incident, such as photos, medical reports, or other forms of evidence. Handbook allows you to upload the following file types:
- .jpg, .jpeg, .png, .heic (Image files)
- .txt, .doc, .docx (Text and document files)
- .xls, .xlsx (Spreadsheet files)
- .mp3 (Audio files)
- .pdf (PDF files)
Each file upload is limited to a maximum size of 5MB.
Marking an Incident as Resolved
Once you've addressed the incident and completed all necessary actions, you can click Mark as Resolved. This will change the incident status to "Resolved." If there is no further action required and you want to close out the incident entirely, you can archive it for record-keeping.
Who Can Access and Work on Incidents?
Incidents are accessible to anyone with Manager, Admin, or Owner roles in Handbook. These roles have the necessary permissions to create, edit, and resolve incidents, as well as track employee incident history. If you are an employee or have restricted permissions, you will only have access to the incidents that involve you or that are within your purview.

How to Get Started
To begin working with employee incidents:
- Click "Incidents" on the left-hand side of the page. This will open the incident management section.
- From here, you can create new incidents, view existing incidents, and track the status of any unresolved issues.
By keeping accurate records and taking prompt action on employee incidents, you ensure that your team is safe, informed, and compliant with company policies.
