How the Experience Looks for Users

In Handbook, we’ve designed a streamlined process for employees to review documents, take pre-tests, complete post-tests, and sign off on important policies and procedures. Below is a detailed guide on how this process works and how it will look and feel to end users reviewing your documents.

Step 1: Pre-Test

Before viewing the document, employees will be required to complete a pre-test. This test helps ensure they have a basic understanding of the key concepts related to the document they are about to read.

  • Pre-Test Scoring: The pre-test scores are automatically recorded and saved in the admin reports. Admins can review these scores for tracking and reporting purposes.
  • Capture Information: During this step, the system records important details such as the IP address and logged-in user information, which are tied to the pre-test for auditing purposes.

Step 2: Viewing the Document

Once the pre-test is completed, employees can proceed to view the document. The document will be displayed in a user-friendly format, allowing employees to read and understand the content at their own pace.

  • Accessing the Document: Employees will be able to scroll through and interact with the document as needed to fully absorb the material.
  • Document Navigation: The system ensures smooth navigation, so employees can easily access the information they need.

Step 3: Post-Test

After viewing the document, employees will be required to complete a post-test. This test is designed to assess their understanding of the material they just read.

  • Passing the Test: To proceed with the next step, employees must achieve a 100% score on the post-test.
  • Unlimited Attempts: Employees can retake the post-test as many times as needed until they score 100%.
  • Recording the Results: Like the pre-test, the post-test results are recorded and saved in the system, allowing admins to track progress and ensure compliance.

Step 4: Sign-Off

Once the employee has successfully passed the post-test with a 100% score, they can move on to sign off on the document.

  • Signature Capture: At this stage, the system captures the employee’s signature, along with details such as their IP address and the logged-in user information. This helps ensure the integrity and authenticity of the sign-off process.
  • Final Confirmation: After signing off, the document is marked as reviewed, and the employee’s completion is recorded.

Important Note for Admins

When editing and building documentsdo not add signature lines directly to the document. The system automatically handles the sign-off process, including signature capture, and manually adding signature lines could disrupt the workflow. The system will prompt the employee to sign off at the appropriate stage, and no signature lines are needed in the document itself.

Summary

The process from pre-test to sign-off ensures that employees not only engage with the content but also fully understand the material. Admins can monitor progress through detailed reporting, and the system ensures compliance by requiring a perfect score on the post-test before allowing the sign-off. This process provides a secure, efficient way to manage policies and employee training within Handbook.
