Deleting Documents

At Handbook, documents are never permanently deleted. Instead, you can archive them. This approach ensures your company always maintains a complete and accurate record of policy and training history.

Why We Archive Instead of Delete

Archiving allows us to preserve a full audit trail. This is critical for:

  • Tracking employee acknowledgments
  • Supporting compliance requirements
  • Handling disputes or investigations
  • Providing evidence during audits

By keeping this history intact, you protect your organization. Even when a document is no longer active, its past usage and employee interactions may still be relevant or required.

How to Archive a Document

To archive a document:

  1. Go to Edit Handbook
  2. Highlight the document you want to archive
  3. Click Archive

The document will be removed from the active view, but all history and acknowledgments will remain accessible for reporting purposes.

Why Am I Still Seeing It in Reports?

The Reports page shows all document history, including archived content. This is by design to support your audit trail.

To narrow your view:

  • Use the filters on the left-hand side to focus on specific documents, dates, teams, or status.
  • If you're trying to view activity related to just one document, we recommend using the Activity Summary instead. It’s a more focused view designed for individual document tracking.
